A crucial and counterintuitive point: whiteboard sketches should be rough. A polished diagram signals "finished — don't touch," which shuts down the very conversation you want. A rough one signals "work in progress — let's change it," inviting people to grab the pen and contribute. Keeping a sketch readable later

A drawing that made perfect sense during a session is often baffling a week later, and a few small habits prevent that. Label everything — an unlabelled box is meaningless once the conversation around it is forgotten. Add a title and a date at the top, so the sketch identifies itself when you find it in a folder. Write the question the sketch was answering somewhere on the canvas.

It also helps to use colour with meaning rather than decoration: one colour for the current state, another for the proposal, a third for open questions. The habit of thinking on paper has an impressive lineage. That is a genuinely useful reframing for anyone who feels they should only draw a diagram once they know what they think. The opposite is closer to the truth: draw badly first, and let the picture show you where your thinking is incomplete. A sketch that is hard to draw usually indicates an idea that is not yet clear, which is valuable information rather than a failure of artistic skill.

A visual vocabulary anyone can draw

People who say they "can't draw" almost always can — because thinking sketches use a tiny vocabulary of shapes, not artistic skill. Dan Roam, who wrote extensively on visual thinking, argued that essentially every business idea can be expressed with a handful of simple forms. Learning them takes minutes and covers most of what you will ever need on a whiteboard.
